Design the file around the work
We review the chart of accounts, opening balances and the systems that supply sales or purchasing information. The structure should distinguish the revenue streams and costs you actually manage. Too many categories can be as confusing as too few, especially when staff select different codes for the same purchase.
Tax codes receive their own review. Saskatchewan purchases and sales can require different GST and PST treatment, so copying a supplier’s previous code is not enough evidence. We document the recurring decisions and identify situations that should be escalated for review.
Control imports and owner access
Bank rules and integrations can save entry time while also repeating an error quickly. We check a sample against source documents, define which entries require approval and confirm that each settlement or invoice is imported once. The owner should retain appropriate control over account access, subscriptions and the ability to export business records.

A Regina retailer imports daily sales through a point-of-sale connection while the bank feed imports the related payouts. Recording both as sales doubles revenue. A clearing-account workflow connects the sales, fees and deposits, then leaves only genuine timing differences to reconcile. The correct setup depends on the chosen integration and its available reports.
