Establish an opening position
Cleanup begins with the last trustworthy reconciliation, previous year-end adjustments and the actual statements for each account. We compare the accounting file with sales systems, supplier balances and any returns already filed. That separates a missing transaction from a difference caused by an earlier accounting decision.
We also establish which records still exist. An owner may have complete bank statements but missing customer invoices or equipment financing documents. The work plan should describe those gaps explicitly, including where an accountant or tax specialist needs to review the proposed treatment.
Correct causes that would recreate the backlog
Duplicate bank imports, transfers recorded as income and personal purchases mixed with business spending each call for a different fix. We document corrections, preserve an explanation and propose a simpler collection routine for the next month. Filed tax returns are reviewed separately; changing bookkeeping entries does not by itself amend a return.
Illustrative Regina example
A small Regina shop migrated software in April and imported three months of card payouts twice. Its bank balance differs by $18,400, but deleting all similarly sized transactions would also remove legitimate settlements. Matching payout identifiers to bank deposits establishes which entries are duplicates and preserves the underlying daily sales. The cleanup then tests the first complete month after the migration.
